ok thank you for the reactions, I didnt want to piss people off in any way! This is our first time we will work with a vj.
the party is called: Luminosity Before the Energy held 1 day before Trance Energy
Luminosity is founded by me and my partner. We do parties 3 times a year besides our full time jobs. Goal is to support the trance scene and its talents by giving the chance for dj talent to play next to big names in the industry. We, and some helping hands do everything on volountary basis so therefor the small budget we have. we want to keep entrance price low. We are a foundation and according to Dutch law we cannot make profit. Just to give you an idea how we work. This year it will be held in central Studios Utrecht, a big location with 2 rooms and we are looking at around 1200 people attending. Lots of those people will be there because of trance energy the day after thatswhy we have around 30 different nationalities coming over. Because of Trance Energy we have lots of agencies/djs/promoters etc attending and supporting our cause. The dj's are getting reduced fees.
we will have live broadcast of video and audio by trancefix.nl and ah.fm

a fee will be personally discussed
traveling expenses will be covered
ofcourse drinks etc also
accomodation we dont offer.

I'm looking for a creative person which can provide the right images for a trance event. Also able to work with live video feeds. trance, welcome to the forum. How about you publish more detail here to begin with. personally I'm done, fed up replying to promoters here who then do not have the manners or decency to reply, not that I'm saying you may be one of these but who knows.

I find it difficult to believe that 1200 attendees are heading towards a non profit making event. This being the case you should be budgeting for your VJ especially as your wanting to Broadcast material. Max exposure for the VJ..no.... a massive improvement towards your event yes.

Who will be there from the music business and why should this interest the VJ? Have they expressed a wish to meet VJ's?

Who or what is the non profit organisation...is it a Registered Charity?

What DJ's are performing and are they doing this for reduced fees for the sake of the non profit making organisation?

Who is recording the event? Are you looking towards the VJ to do this also?

Please publish more detail, links to the event, web site, Line up etc etc etc.

Are you prepared to cover travel expenses and accommodation along with the small personal fee? You could state clearly the finances you have for this VJ.

Please, less of the secretive hype and more detail......were not a secret society here and dont want to waste ours or your time:)

This is "the" most dutch company here in holland ;)

(imho 5% of the doorprice for a vj service is 1500 euros at least... )

how many people do we have on the guestlist do you think ?
how much is the rent of the place ?
How much is all sounds and lights, lasers ?
how much would the dj list cost do you think ?
Promotionwise do you know how big the budget is ?especially when its an organisation of only 2 years old in holland with trance music??

we are lucky if we do break-even my friend.
So if you have no idea what you are talking about please ask and i will gladly awnser all you questions

I've said on this forum trance I'm no longer going to questions promoters, however, as I was the first to question you for more detail will finish this one off. I appreciate the detail you added. thanks.

You and the management are in control of the guest list and this rarely effects the financial side of your budget. Cutting the guest list is an option to consider if it is.

Perhaps only 2 lasers instead of 3, 1 instead of 2.

Do you think the clubbers would have noticed one less International DJ on your line up? You would have saved on a flight and Hotel expenses....3 VJ's:)

Never done a Trance event with an MC myself.

When working out your budget did you consider an extra 1 Euro on the price of a ticket. Would the clubbers have noticed that or objected.

Perhaps next time you may consider a few of the above. Your event looks good with a decent line up. It would have been good and fair to have been employing a good VJ and paying him fairly. If your lucky to break even please remember it's your choice to run the event, please don't ask VJ's to carry your risk. If doing so the least that could be done is that he is employed early and included in all your Promo material at least then he is being publicised for his future and may find it beneficial.

Hope the event goes well and look forward to applying with you next year, an international VJ would look so much better on your line up than an MC :)

But i'm not here to discuss the event ;)

I'm asking for a VJ who is willing to do his creative thing on our event for the first time. If it works out we will prolly do it again.
I havent discussed fees so if i like what i'm seing in the myspace/partyhistory or something, the vj gets a higher fee.
Thats something to discuss, but i just wanted to point out that the dj's are getting a lower fee so we wont be able to pay a vj 600 euros.
We are not doing these events to rip people off.
maybe i have posted this question in the wrong folder.
